Start with an export or a document

Smart Import supports customers, jobs, expenses, equipment, invoices and estimates. Upload CSV or Excel exports, PDFs or supported images. Choose one record type for the upload so the review matches the records you want to create.

Select several files together, choose a folder including subfolders, or upload one ZIP. Each review row in a bulk import shows its source filename. Unsupported or unreadable files are listed so you can decide whether to save the successfully read records.

Review before anything is saved

Choose the record type and files. Files are read on the server; importing does not send emails, payment requests or employee invitations.
Check the suggested fields. Review customer details, addresses, dates, descriptions, subtotals and tax rates against the originals.
Correct or exclude records. Edit the review fields and invoice line items. Uncheck rows you do not want to import.
Confirm and save. Required fields are validated and possible duplicate records are skipped.

Save customers while importing invoices

Select the optional customer checkbox before saving an invoice import. CrewCore uses the reviewed customer names, emails, phone numbers and addresses to create saved customer records.

Existing matches are reused and their details stay unchanged. The result reports how many customers were created or matched. Creating a saved customer does not create a user login or send an invitation.

Upload limits and undo

A bulk import supports up to 100 files and 1,000 records, with a maximum of 8 MB per document and 32 MB for the upload and expanded file contents. ZIPs inside ZIPs and password-protected ZIPs are not unpacked. Excel files must contain one worksheet.

You can download the original upload from import history. Undo removes newly created records together, but stops if those records were edited or later work refers to them. Deleting source history keeps saved records and removes the ability to undo that import.

Import now or return later

Choose Import now while creating your business workspace, then sign in as the owner. You can also choose Do this later and open Smart Import from the owner sidebar whenever you are ready.
