Use descriptions, quantities and prices to explain the work being quoted or billed. Review dates, taxes and totals before sharing paperwork with a customer. Your business remains responsible for the amounts and tax treatment shown on its documents.
Separate the quote from the invoice
An estimate describes proposed work and pricing; an invoice records the amount being billed. CrewCore gives each its own records so an owner can keep customer paperwork organized through the job.
Send customer documents using the app’s configured email capabilities when they are ready. Email and payment workflows depend on the business’s configuration; uploading an old invoice through Smart Import does not automatically email the customer or request a payment.
Bring existing invoices and customers with you
An owner can upload invoice PDFs, spreadsheets, images, multiple files, folders or a ZIP using Smart Import. Recognized invoice fields and line items appear in an editable review.
Select “Also save customers from these invoices” to save customer details alongside the selected invoice records. Matching customers are reused without overwriting their existing details. Possible duplicate invoice numbers are skipped when saving.
Extracted data needs checking, particularly scans and unfamiliar document layouts. Imported invoices are saved as drafts with no payments automatically added. Review their status and financial history before using them as current business records.
